It's 8:47pm. Someone in Newtown throws their back out lifting a couch. They grab their phone and search "physio near me."

Your clinic comes up. Top 3. Good reviews, a suburb they recognise.

They tap through to your website.

Phone number. Hours: closed.

No online booking. No form. No way to reach you tonight.

They close the tab. The next clinic down has a "Book Now" button. Ninety seconds later, they've got an appointment. Not with you.

Your ranking didn't move. Your traffic looked the same. A patient just booked with someone else, and it won't show up anywhere in your numbers.

What's happening

Every week, another Sydney clinic ranking top 3 loses a booking exactly like that one.

You check your Google ranking most Mondays. It's holding at #2 or #3. You figure the marketing's working.

What you don't check: how many of those visitors actually booked.

Ranking tells you people found the clinic. It says nothing about how many left without booking. For most clinics, that number is high — and nobody's tracking it.

A few examples:

  • A clinic ranking #1 for its suburb, with a "Book Now" button that links to the wrong page.
  • A patient clicks through, sees nothing to act on, and leaves within five seconds.
  • A returning patient wants to book their next session, can't find a way to do it online, and lets it slide.

What's broken

  • Booking only happens by phone. Someone searches at 9pm, or on their lunch break, or while you're mid-session and can't pick up. No answer means no booking. They call the next clinic instead.
  • Enquiries sit in an inbox no one checks. A patient fills in your contact form on Saturday morning. Nobody reads it until Monday. By then, they've booked with a clinic that replied in ten minutes.
  • The booking form doesn't work properly on a phone. Someone with a frozen shoulder tries to fill it in one-handed, in the car. The dropdown menu doesn't load. They give up halfway through and call somewhere else — if they bother calling at all.
  • The homepage doesn't tell them what to do. Logo, a paragraph about your approach to care, a list of services. No booking button above the fold. They scroll, don't find one, and leave.
  • Your services page doesn't answer their actual question. Someone with a running injury lands on a wall of text about "musculoskeletal physiotherapy" and six other services. They can't tell in five seconds if you treat runners. So they leave and book with the clinic whose menu says "Running Injuries."
  • There's no real person on the page. A stock photo of someone stretching on a yoga mat. A one-line bio with no name attached. The patient booking a first appointment for their bad back has no idea who'll be treating it. That hesitation is enough time to open a new tab.
  • The callback comes too late. They call, don't get through, leave a message. You call back four hours later, between patients. They've already booked with the clinic that rang back in twenty minutes.

Any one of these looks minor. Together, they're the reason a top 3 ranking doesn't turn into a full appointment book.

Why it matters

This isn't a traffic problem. People are already finding you.

It's a booking problem. And it costs real money every week.

Say you get 300 visits a month from people searching for a physio. If 15 of them would have booked but didn't — form unread, call not returned, after-hours search with nowhere to go — that's 15 bookings gone. Most of those aren't one-off appointments. They're a course of treatment, worth several visits each.

Over a year, that's close to 180 patients who searched, found your clinic, and booked somewhere else.

None of this shows up in Google Analytics as a warning. It just looks like a quiet month. Meanwhile, the clinic ranking two spots below you shows a full book for the next fortnight.

Ranking is the number everyone checks. Bookings are the number that pays the rent. They're not the same number.

What needs to change

You don't need a new website. You need to close the specific gaps sending patients to your competitors — where booking happens, how fast enquiries get answered, what a new visitor sees first, and how any of it holds up on a phone.

Not every clinic has all of these. The question is which ones your site has, and how many bookings each is costing you.

None of it needs a rebuild. It needs those gaps found, and fixed in the right order.
